Privacy policy

1. Scope

This policy explains how Resume Flint handles personal information through its web app (roleo.com.au), the same app used on a mobile browser (which you can add to your phone's home screen), the Resume Flint for Windows and Resume Flint for Mac apps (which show the same web app in a desktop window and can additionally read job pages in a browser on your computer and save document copies into folders you choose), the Resume Flint apps for iPhone and Android, and related account, billing and AI services. Reading job pages on your own device. Several job boards refuse requests that come from data-centre servers, so those advertisements cannot be read by Resume Flint servers at all. The Windows, Mac, iPhone and Android apps can therefore open a job advertisement page in a browser on your own device and extract the advertisement text locally. That request goes directly from your device to the job board, so the job board sees your device, your IP address and any cookies your browser already holds for that site, exactly as it would if you opened the page yourself. Resume Flint receives only the extracted advertisement text, never your cookies or sign-in details for that site.

2. Information Resume Flint handles

  • Account information: email address, display name, sign-in provider, verification and access status, plan, credits or allowances, and login/activity dates.
  • Billing information: your subscription plan, status, renewal dates and Stripe customer/subscription identifiers. Payments are processed by Stripe; Resume Flint never sees or stores your card number.
  • Job and application information: job URLs, titles, employers, locations, descriptions, scores, strengths, gaps, summaries, stages and activity history synced to your account.
  • Resume and experience content: source resume text, optional project/experience text and generated document content used for matching, tailoring and cover letters.
  • Documents: the master resume and optional experience files you upload, and the tailored resumes and cover letters Resume Flint generates, stored in your account.
  • Security and operations: session identifiers, password hashes, verification/reset records, rate-limit counters, audit events, browser/platform, service failures and aggregated usage.
  • Website analytics: page path, referring host and coarse country for page views, used for abuse prevention and aggregate measurement. Resume Flint does not store the raw IP address in these analytics records.
  • Search information: the keywords, location and filters you search with, the site searched, the address Resume Flint built, and which advertisements were found, kept or dropped and why. This is recorded for every account so repeated search failures can be diagnosed, and it is visible only to Resume Flint administrators.
  • Support: information you choose to provide in an enquiry or AI-output report.

3. Document storage

The resume and experience files you upload, and the tailored resumes and cover letters Resume Flint generates, are stored in private, account-scoped cloud storage. When tailoring starts, Resume Flint records a cryptographic hash and keeps an immutable, deduplicated source copy so a resumed run cannot silently change if the master résumé is replaced. Temporary project-evidence working files are removed when the run finishes, fails or is cancelled. Immutable source copies remain account-scoped and are deleted through the account-deletion process. Extracted document text is stored with your account settings to support matching and tailoring. Account and job records - including job descriptions, scores and stages - are stored in Resume Flint's protected cloud database so the app works the same on your computer and your phone. A document you download to your device is then subject to the storage and privacy controls of that device and any destination you share it with.

Before Resume Flint sends resume text to an AI provider for scoring, tailoring or a cover letter, it replaces direct identifiers (name, email, phone and address) with temporary placeholders, and restores them only in the finished document. This reduces exposure but is not a guarantee that submitted material contains no personal information.

4. AI processing

Resume Flint sends the content required for a requested AI feature to its AI providers (OpenAI and Anthropic) through Resume Flint's own server-side accounts. This can include resume, experience and job-description text, with direct identifiers replaced as described above. Resume Flint uses the response to return a match score, tailored wording, a cover letter or a help answer. Users do not provide their own AI API key. Resume Flint records usage and operational outcomes but does not intentionally place full AI request content in page-view or operational analytics. The providers process submitted content under the service arrangements used by Resume Flint.

5. Why Resume Flint uses information

Resume Flint uses information to create and secure accounts; provide search hand-off, job sync, matching and document features; apply credits and limits; deliver verification and reset emails; detect abuse and scraping; diagnose failures; support users; measure aggregate use; comply with law; and protect users, third parties and Resume Flint's proprietary service.

6. Cookies and browser storage

Resume Flint uses a secure session cookie to keep you signed in. The web app uses your browser's local storage for interface state and, on a phone added to the home screen, for offline assets. Resume Flint does not use third-party advertising or cross-site tracking cookies.

7. Service providers and overseas processing

Resume Flint uses Cloudflare for website, database, object-storage and security services; OpenAI and Anthropic for AI processing; Stripe for subscription payments (Stripe receives your card details directly and handles them under its own privacy policy - Resume Flint receives only confirmation of payment and subscription status); and configured email providers for account messages. These providers may process data outside Australia. Resume Flint limits access to what is needed for their function and uses provider security and contractual controls appropriate to the service.

8. Disclosure and sale

Resume Flint does not sell personal information or use resume content for third-party advertising. Information may be disclosed to service providers described above, when you direct a share or download, to investigate security or unlawful use, or where required by law. Authorised administrators can access account, operational and deletion-request information needed to operate and protect Resume Flint.

9. Retention

Account, job and document data is retained while your account is active and as reasonably needed to provide the service. Sessions, verification links, password-reset records, rate-limit counters and invitations expire or are purged according to their security window. Operational events and the detailed search records described in section 2 are generally targeted for 30-day retention, and mail-delivery events for 90 days; audit records may be retained longer for security and accountability. Backups, provider logs or records required by law may take additional time to expire.

10. Security

Resume Flint uses account-scoped access controls, email verification, password hashing, encrypted transport, private object-storage keys, rate limiting, bot detection, restricted administration, security headers and audit records. No system can guarantee absolute security. Keep your device and account secure and contact support promptly if you suspect unauthorised access.

11. Access, correction, export and deletion

You can request a readable text export of your account and job data by contacting support from your registered email address, correct certain settings by updating them, and delete your account yourself while signed in. Deleting your account takes effect immediately and cannot be undone: it removes the account, its cloud database rows including job, search and history records, and its private account-scoped cloud documents, and cancels any paid subscription. It does not delete files you have already downloaded to your device or shared to another service. Follow the data-removal guide for complete steps.

12. Your responsibilities and children

Only provide personal information that is relevant to your job search and that you are authorised to use. Resume Flint is intended for people managing their own employment applications and is not directed to children under 16.

13. Changes and complaints

Material changes will be published with a new effective date. To ask a privacy question, request help or make a complaint, email support@roleo.com.au. Resume Flint will acknowledge and investigate reasonable privacy enquiries.
